Resolution / Answer:
Delivery tickets can automatically generate for monitored tanks when a specified percentage level is reached or surpassed through a tank monitor reading. You can configure this either in the Admin > Setup Tank Monitor setup page or from the customer Tanks tab.
Option 1: Configure auto ticket creation in Admin > Setup
- Navigate to: Admin > Setup and click Edit on the External Integrations - Tank Monitor row.
- At the bottom of the page there is a grid to set up Auto Ticket Creation.
- Select the tanks that should auto generate a delivery ticket by using the checkboxes in the Auto Ticket Creation column.
- Enter the Creation Threshold Percentage in the box for that row.
- When this percentage is reached or surpassed through a tank monitor reading, Cargas will automatically generate a delivery ticket.
- If this box is blank, tickets will not auto generate.
- If this box is set to 0 or greater, a ticket will generate when that threshold is reached.
- Note: a ticket will not be automatically created for a tank with an open/unposted delivery, even if the Allow Multiple Deliveries option is enabled on the tank.
- Use the dropdown at the top left of the grid to filter between:
- All Tanks
- All Mapped Tanks
- All Unmapped Tanks
- If a tank is Unmapped, tickets will not auto generate, even if the Auto Ticket Creation box is checked and the Creation Threshold Percentage box has a value.
Option 2: Configure auto ticket creation from the customer Tanks tab
- Navigate to the customer record and open the Tanks tab.
- Click Actions > Edit Tank for the desired monitored tank.
- The Tank Monitor box will show:
- Tank Monitor ID
- Auto Ticket Creation checkbox
- Creation Threshold Percent
- Click the Edit button to make changes.
- Check the Auto Ticket Creation checkbox.
- Enter the Creation Threshold Percentage in the box for that row.
- When the Creation Threshold Percentage is reached or surpassed through a tank monitor reading, Cargas will automatically generate a delivery ticket.
- If this box is set to 0 or greater, a ticket will generate when that threshold is reached.
- If this box is blank, tickets will not auto generate.
- Note: a ticket will not be automatically created for a tank with an open/unposted delivery, even if the Allow Multiple Deliveries option is enabled on the tank.
- If the customer is on hold, the auto-created ticket will go to the Delivery On Hold screen.
- If a tank is Unmapped, tickets will not auto generate, even if the Auto Ticket Creation box is checked and the Creation Threshold Percentage box has a value.
- Click Save to confirm any changes.
- Any changes made to Auto Ticket Creation or Creation Threshold Percent here will be reflected on the Admin > Setup > Tank Monitor setup page.
How auto-created tickets behave
- When a ticket is generated by this process, the Created By user will be System.
- The ticket is placed into the Monitored section of the Delivery Center.
- In the Admin-based setup, the ticket delivery type will be Automatic.
- From the customer screen setup, the ticket delivery type will be Will Call; ensure there are no schedules on the tank or it will not auto-create a delivery ticket.
- Tickets will not auto-create if:
- The tank has an open/unposted delivery.
- The tank has a schedule.
- The tank is Unmapped.
- The customer is on hold (in this case, the ticket goes to Delivery On Hold rather than the standard queue).
Additional Information:
You can choose the configuration method that best fits your workflow: use Admin > Setup > External Integrations - Tank Monitor to manage many tanks at once, or the customer Tanks tab to review and adjust settings for a specific customer. Both methods keep tank monitor settings in sync and follow the same rules for when tickets are generated or suppressed.
